Short party tips
If you are planning a large event or just a small birthday party or dinner, these tips will help with every occasion.
- Budget Accordingly
Sit down and decide on budget and try your best to stick to it. Because something you did not think about often comes up, create an emergency budget of extra money. If you don’t spend it, you get to keep it. If something comes up at least you planned for it.
- Keep copies
Try to keep an up-to date contact list. If you are buying or renting anything keep copies of the agreements and receipts.
- Reserve your venue ahead of time
If you are planning on renting a special venue, be sure to reserve it as far in advance as possible
- Time is important
When you decide to have your party is very important. Remember that attendance will be low if you plan your event near a holiday or long weekend.
- Food & Drink
When planning a menu stay way from foods that could set off peoples allergies or at least have an alternative food prepared. Foods that can cause problems are: hot and spicy food and any kind of shellfish.
- When to Send Invitations
Send your invitations out at least 2 weeks in advance, and the bigger the occasion the earlier you should send your invitations. Always request your guests to RSVP.
- When do you use themes
You don’t always need to have a theme. Themes are generally great for personal parties with friends and family.
- Seating Charts
If you are planning a large event, a plan for were people will be sitting is a must. Try to keep people together that know each other. If you are planning a small party just make sure there is adequate seating.
- Music for all
Make sure your music is appropriate for your party. You need to take into account the ages of the people attending. Try to play music everybody will enjoy, don’t only play for your own unique musical tastes.
- Plan for Emergencies
If you are planning a kids party keep a small emergency kit handy with plasters and any thing else that might be needed. Find the closest hospital or emergency room for any accidents or allergic reactions anybody might have. At large venues write down all the fire exits, and have an evacuation plan on paper in case of emergency.
- Logistics
Make sure there is enough parking for all your guests. Knowing how people will get to the party and how they will get home also helps
- Equipment
Keep a list of any equipment you will need. If it is a big event it might be a good idea to hire a tech-savvy person to over see the equipment. Don’t forget all parties should have at least one camera handy for quick photos.
- Special Provisions
Find out in advance if you will need special accommodations for the disabled or hearing impaired.
